Reporting

 

Oomnitza can allows our users to track and manage a large database of assets. Oomnitza also allows for reports to be pulled up quickly and also be automated.

 

Saved Search:

In both assets and people view the left hand search bar can be used to quickly pull up data based off different data points. For an example we will pull up a report that shows us all laptops that are based in San Francisco.

 

Here we have set the parameters for the search we would like to report on. In this case we have set the asset type to Laptop and  the location to San Francisco HQ. Once you set these search parameters in the left hand search tool all of the assets that meet the parameters will automatically be brought up in asset or list view.

To Export the data to a Excel Spreadsheet or a CSV click on the export link in the bottom right hand corner as shown in the figure above, a popup will show asking you to Choose which format you would like to export the file.

 

After a file format is chosen a popup will show which asset information has been exported successfully, if an asset is not able to be exported there will be a quick explanation of why the asset is not exported, this text will be orange.

Once the export log popup is shown you can download the file by pressing the download button in the popup.

 

To save the search to pull up the report in an instant at any moment follow the stepf in the image below.

 

Step 1 - Click the Save link to the Right of Search results in the top right corner

Step 2- Enter the name of the search you would like to pull

Step 3- Click Save at the bottom of the popup to save the search

To Bring up Saved Searches for up to the minute reporting in your instance click on the arrow next to All Assets in the top left corner as highlighted in the image below.

 

Generating Monthly Reports with Workflows

In Oomnitza’s workflow creation there is a Monthly Report workflow Block that can be used to generate automated Monthly Reports. In a Monthly Report workflow the begin block is used to determine the data the will be generated in the monthly report.

In the image above, the monthly report has been set to generate a file containing all Laptops that are located at the San Francisco HQ.

 

You can also set the monthly report to generate files based on scheduled data points such as End of Warranty or Loan Return Date by switching the actions drop down schedule. Below is an example on how to generate monthly reports on assets that have a loan return date occurring in the next 30 days.

 

In the Monthly Report block you chose who you would like the report to be sent to.

Once you have chosen the parameters of the report in the begin block and the recipient of the report in the monthly report block, preview the logic and launch the workflow to save.
