Do you want to understand what’s in your AWS infrastructure and monitor your cloud storage? Now, you can easily spin off Amazon Web Services EC2, Amazon WorkSpaces, Amazon Elastic Block Store (EBS), and AWS Simple Storage Service (S3) integrations. Just click Apply for the package and the integration, with its associated business objects, credentials, roles, saved searches, and dashboards is added in minutes.

- Cloud workflows creation just got easier to build with credential association. Manually entering your credentials before each cloud workflow is now a thing of the past. Now, any user with the right role and permissions can simply select the credentials that are associated with the instance. You can even use one credential to create multiple workflows for multiple AWS integrations distributed across multiple regions.
Easier and Greater SaaS Availability
Import SaaS Users
Got a SaaS system that you want to manage in Oomnitza today? But, you can’t upload the SaaS user information automatically using SSO or an integration.
Just add the SaaS Software system in Oomnitza and import a list of SaaS user names, email addresses, roles, and last visit dates. And, leverage Oomnitza’s powerful Workflow engine to trigger notifications and create bespoke workflows for joiners, movers, and leavers.
Automatically Assign Contracts by SaaS User Role
The cost of most SaaS contracts depends on the role that is assigned to the user in the SaaS system.
What if you could automatically assign contracts by SaaS user role?
Just add a rule to assign a contract to each SaaS user role. And, you don’t have to wait for the next scheduled run of the SSO or SaaS user integration. Just run the rule and the users are automatically assigned to the correct contract.
Save with Meaningful SaaS Usage Tracking
You add SaaS contracts to manage licenses for your SaaS systems. But, does the budgeted usage match the actual usage?
Now, you can capture usage information daily for each contract line item such as the number of emails actually sent, or the number of API calls made, or the number of storage units used.
Accurately track the usage information that you need to make informed decisions about reducing costs such as identifying the underutilized licenses that you can cancel.
Enhancements to the SaaS Management Integration for Okta
Separate Okta SaaS Instances
In Okta SSO, you can have multiple instances of the same SaaS application as defined by the application's subdomains, such as Zendesk for Customer Support and Zendesk for Internal Support. Now, in Oomnitza, you can manage these instances separately as if each instance was a separate SaaS application. This enables you to manage the SaaS users, manage the contracts, budget costs, and track the usage of each SaaS application.
Enhanced Detection of SaaS Applications and Users
Previously, only users who logged into the SaaS application using SSO were detected. For example, if users never logged into the SaaS application or bypassed SSO by logging in directly with username and password, they were not detected.
Now, a more complete list of the registered users of the SaaS application and of the SaaS applications is ingested by Oomnitza. The benefits include:
- All users are loaded including the users who log in directly using their username and password.
- Immediate visibility and value. By pulling from the Okta registration list, information about users and applications are immediately available in Oomnitza.
- Better coverage for cost and license optimization resulting from the more complete coverage.
- Improved offboarding of employees. Licenses that are assigned to users who have never accessed the SaaS application can be reclaimed.
- Improved management of SaaS applications portfolio. A complete list of the Okta SSO enabled applications that are assigned to users is available.

SaaS Credentials Authorization Presets
Selecting the correct type of authorization for SaaS couldn't be easier!
Now, when you add credentials for a SaaS, you see both the name of the SaaS and the type of authorization of the SaaS. Want to add a SaaS that has multiple authorization options to Oomnitza? Easy, just pick the one you need from the list.
Administration and Configuration Enhancements
Faster Role Management
The Roles module has had a face lift!
- You can easily manage roles and permissions to control access to your critical data.
- You can assign a help URL for each role so that your users can access your organization's training and other collateral.
- You can give your colleagues a head start by assigning a default search for each user role so they see the things that they need to see.
- You save time when you want to create a new role. Simply copy one of the roles that you already configured and make your changes.
- You can easily add and remove roles assigned to a user.
- You can monitor who made the changes to a user’s roles and what changes they made.
Search
Find the information that you need easily and quickly using the improved search feature. Just choose the criteria to filter the records that you want to process. Remember, you can save searches and use them to create dashboards, set the conditions for triggering workflows in Begin blocks, and generate reports that you can share with your colleagues.
Workflows
Workflows are now run more efficiently and successfully because they are prioritized by the type of action, such as the user and scheduled actions, that trigger the workflow.
The following improvements were also made:
- You now have greater control over workflows. Say, an Approval block was added to a workflow that requires an employee to complete an action before the workflow can complete. And, say the employee doesn’t oblige. Not a problem. Administrators can now cancel and restart workflows.
- You can now get more information about workflows that are run against a specific object, such as who ran it, the completed action, and the affected fields. Click Assets > Workflow, select an asset, and then click History.
- You want to calculate the book value of an asset, the price of an AWS instance, the age of a password or token, the number of days left before a warranty lapses?
Now, when you create workflows, you can leverage a wider range of date and mathematical formulas to get and manipulate the information that you need.
Enforce Data Hygiene
You can use a global setting to prevent users from importing files into Oomnitza that have no values in mandatory fields.
Atomic Package Migration
When you migrated packages, such as an integration, from your development to production instance, you had to:
- Keep track of the configuration changes, such as the new custom fields that you added and the workflows that you updated.
- Associate the configuration changes that you made with the package.
Like all manual operations, it’s prone to error.
Now, when you create a package, you just click a button to record the configuration changes that you make ensuring a seamless migration from your development instance to your production instance.
Subscriptions
You know you can send daily, weekly, and monthly reports to notify your colleagues and keep them in the know. Now, you can send reports every quarter. You can also prevent reports from being sent to people outside your organization.
Bulk archiving
Archiving records has got a performance boost! In the popup, you see how many records are processed and how many records require attention. And, you can work away as your records are being archived.
Multikey Desktop Contracts
Now, you can budget the cost of desktop software contracts at a granular level by adding fixed, variable, and tiered cost line items. And, you can capture the actual daily usage of each line item by adding metrics, such as the number of API calls made, the number of emails sent, or the amount of storage consumed.
Media
Added a lot of media files for an asset endpoint or software and you want to know more before you download the media file? Switch to the list view and you’ll get all the information that you need.
Accessories
- Now, you can bundle accessories into a kit. Say, you want to create an onboarding kit for new hires. No problem! Add the accessories, keyboard, microphone, headset, and whatever else your new hires need to hit the ground running. Then, assign the kit to users.
- Ever felt like adding a note when you execute stockroom actions? For example, when you send, transfer, and receive accessories. Just navigate to the Assets tab in the stockroom, create an action, and add your notes.
Integrations
With each release new asset, user, and SaaS user integrations are being added with presets that will help you to easily create workflows that automate routine and complex tasks like life cycle processes such as asset purchase to end-of-life, onboarding and offboarding employees, ensuring compliance, and enforcing security best practices.
