Before you start
To perform an audit, users must have audit permissions and have at least read permissions for accessories, assets, and stockrooms. |
Add audit
Before you use the mobile app to perform the audit, you must add information about the audits that are to be performed.
To create an audit in your Oomnitza instance, complete these actions:
- Click Locations > Audits.
- Click Add.
- Enter the name of the audit.
- Select the stockroom.
- Optional. You can specify the following dates:
- Planned start date
- Planned end date
- Optional. By default, the user who creates the audit record is the approver. You can choose another approver who has the appropriate audit permissions.
- Click Save.
Result
The audit is saved in draft mode and you are prompted to add an auditor.
Adding auditors
- Click Auditors.
- Click Add auditors.
- Select the auditors that will perform the audit using the mobile app. You can include other users who have the appropriate permissions.
- Add assets and accessories to the audit by navigating to the relevant pages. You can automatically add all audits and accessories by selecting Add All.
- Toggle the Allow auditors to add switch on the Accessories and Assets pages to enable auditors to create or add new assets and accessories when performing the audit.
- Click Complete Audit Creation.
Installing the audit app
To install the Oomnitza audit app, complete the following steps:
- Download the Audit by Oomnitza app in the Apple store. The app should be supported by any apple device with iOs 11 or later.
- Enter your system name or the full URL and click Continue
- Enter the Username and Password of your Oomnitza instance or Sign in with SSO.
Using the mobile app
When you open the app, you will be presented with a list of stockroom audits. Simply select a stockroom from the list and you can begin the process of performing the audit. For detailed steps, refer to Performing an audit.
Performing an audit
Complete the following steps to perform an audit:
- Open Audit by Oomnitza and select a stockroom from the list.
- Click Start. All accessories in the list are locked for editing while the audit is being performed.
- Search or scan for your asset or accessory.
- Add the quantity of each item. Depending on your permissions, you can also add new items found during the audit to the stockroom.
- Click Confirm and the audit of the item is complete.
- Once all your items are audited select Complete in the upper right.
Approving the audit
When the auditor performs the audit using the Audit by Oomnitza app and submits the audit to Oomnitza, an administrator must review the audit and approve it in their Oomnitza web instance. The administrator completes this action to ensure that the audit is accurate.
To review and approve the audit, complete these steps:
- In your Oomnitza web instance, click Locations > Audits. To quickly find an audit, add the filter Status equals Waiting for Approval in the search sidebar.
- Open the audit.
- On the Accessories and Assets pages, check each audit record to ensure that the recorded details and quantities correspond with the system’s data.
- Select a record. Choose one of the following actions:
- Click Approve if you find no discrepancies.
- Click Decline. Before you click Decline, you must provide a reason, and then click Reopen Audit. The audit status is set to In Progress. This will enable the auditor to adjust and resubmit the audit from the Audit by Oomnitza app. (Declining a single audit record means the auditor must perform the audit again and resubmit it to the administrator for reviewal and approval.)
Result
When all records are reviewed and approved, the results of the audit are updated in your Oomnitza web instance to provide an accurate account of the current status of your stockroom.
