Surface information about the unsanctioned apps and the number of users accessing them.
Before you start
To easily find the records that are uploaded to Oomnitza, it's best practice to create a dedicated user account for each integration. This will make it easier for you to retrieve the records that are uploaded to Oomnitza from the vendor application.
In this scenario, you retrieve unsanctioned apps only when you run the integration. If the Shadow IT app also retrieves sanctioned apps, use the same search and modify the chart labels.
Creating the search
- Click Software.
- In the search pane, add the Created by field and select the integration user that you added.
- Add the following fields to the search and set the operator to Is Not Empty:
- Software name
- Total Active users
- Save the search as a public search.
Creating the dashboard
- Click Dashboards.
- Choose a dashboard page or create a new one.
- Click Add widget.
- Click Bar chart.
- Add the name of the dashboard such as the name of the Shadow IT software.
- Select Allow table view.
- In the Data source section, select Software SaaS as the object and select the search that you created.
- Type a name such as Number of Users.
- In the Y-Axis section, select Sum as the calculation type.
- Select Total Active Users as the field.
- In the X-Axis section, type the name such as Unsanctioned SaaS apps.
- Select Software Name as the field.
- Save your changes.
Result
In the chart, the SaaS apps with the most active users are displayed. You can click a bar to drill down into the unsanctioned app record. You can open the Users tab to view more information such as last activity timestamps. T switch to list view, click Table .
