As an administrator, you can use surveys to:
- Capture ownership information of an asset or accessory
- Capture information, such as the model number of a device or license usage data.
For instance, you can incorporate a survey into a decision block to prompt users to confirm ownership of an asset or choose a specific course of action.
Note
Only the recipients that you specify in the decision block have the ability to submit surveys, and these users need to be Oomnitza users as they will need to log in to their Oomnitza instance to complete the survey.
Create variables for your survey
To get started, you must first create variables for your survey. The variables are fields that are added to the survey form to request information from the user.
For example, you want to capture the following information in your survey:
- The model number of the employee’s device
- The serial number of the employee’s device
- The employee’s department
To do this, you add a model number, serial number, and department variables.
To create a workflow variable, complete the following steps:
- Click the Variables tab in the sidebar.
- Click ADD VARIABLE.
- Enter the name of the variable and select a data type from the list. You can choose to add object data types as variables.
Tip
If you want to create a survey that enables end-users to choose from a list of existing accessories, you can add the accessory data type as a variable to the survey. When users fill out the survey, they can pick the accessory they want from a list.
Creating the survey
In the same workflow, complete the following steps:
- Select the Survey tab in the sidebar.
- Click Add survey.
- Supply a survey title and description. The description accepts up to 10,000 characters. To include metadata fields or variables in the title or description, click .
- Enter the label for the submit button, such as Submit or Approve Survey. The label accepts up to 16 characters. This button is displayed at the bottom of the survey form that you send to the user.

Click Save.
Next steps
Now you need to add the variables that you created to your survey.
Adding variables to a survey
- Click the Survey tab in the sidebar.
- To add the variable to the survey, click Add field .
- Select a variable from the list.
- In the Field attribute dropdown, specify the field visibility.
- Optional. Supply an alternative label or name for the field that will appear in the survey.
- Optional. Add a description. The description will be displayed next to the field, such as Select the checkbox to confirm.
- Repeat steps 1-6 to add all the fields to the survey. Click and drag to change the order of the fields so the information is presented clearly.
Result
To review the survey you have created, click on the ellipsis in the Survey section and select Preview survey.
