Create a report that combines data from assets and users.
Instead of creating separate reports that show data only for a single object, you can create a single report that combines data from two objects such as assets and users which you can export and share with your colleagues. For example, you can create an assets report that generates a list of assets and the users they are assigned to. But, let's say, you want to show more user data such as the user's address, the user's office or department, and other user data. In this case, you create a cross-object assets and users report.
Note
At least, read permissions to Assets and Users are required.
Refining the data
To avoid overwhelming users with data, you can refine the information that is shown about assets in the report.
You can
- Use search in the Hardware list view to filter asset records such as show assets that are ready to be deployed and assigned to users.
- Use List View Preferences to reorder the asset fields and to show or hide asset fields that are not relevant to your report. Alternatively, in list view and in asset and users related view, you can right-click asset column headers to hide them and drag and drop asset column headers to reposition them.
Important
To show related user data for hardware, the Assigned to field for hardware must be populated.
Procedure
- Click Hardware.
- In the list view, you can create a search to refine the asset data such as
Status = Ready to Deploy. - Expand Related Views, and then click Users.
- You can complete the following actions to refine the asset data that is displayed and exported:
- Click the More actions
and select Hide to remove a column.
- Select an assets column and drag and drop it to another position.
- Click the More actions
- Click Export
to download the report.
Result
A list of the asset and the associated user data is displayed. To easily identify the data source, assets or users, (assets) is appended to asset fields and (users) is appended to user fields.
