Tutorial: Creating a top 10 dashboard for SaaS license usage

Get insights on how to reduce costs and budget more accurately by tracking how many SaaS licenses are used and how many licenses are available.

Before you start

You must add contracts and assign users to contracts.

When you add a contract, you can set a limit to the number of licenses and enter the total number of licenses that are available for the SaaS application. If the total isn't set, the number of available licenses is represented with the infinity symbol ∞ in the chart. 

Tip
To set the total number of licenses assigned to a contract, click Contracts and then click the contract. Select Limit # Of Licenses, enter the number, and save your changes. 

Procedure

1. Click Dashboard. 
2. Click Add Widget.
3. Select Top 10 SaaS - Used and Available licenses as the chart type. 
4. Enter the chart name.
5. Choose who can view the chart. By default, the chart is visible to all users who have dashboard privileges.
6. Select Allow table view. When selected, users can switch from chart to table view.
7. Add a documentation link to provide more information about the dashboard.
8. Add a label for the documentation link, such as Learn more. The link will be displayed on the dashboard.  
9. Click  SAVE. 

Tip
Click a column to show the details about the users who are assigned to contracts for the SaaS. 

Result

The chart is generated and shows the top 10 SaaS applications with the most available licenses.  When you switch to table view, the following information is provided:

• The name of the SaaS application
• The number of used licenses
• The number of available licenses
• The total number of licenses
