We understand that data privacy is of utmost importance to our users. As we introduce the Assistant feature, which integrates with OpenAI's third-party service, we want to clarify how user data is handled and ensure transparency regarding the information shared with OpenAI.
No record content is sent to OpenAI
When using the Assistant, no record content is sent to OpenAI. Our data exchange is strictly limited to the necessary information required to complete the action. For example, when conducting searches, only the request submitted by the user and the associated field metadata, such as the field ID, label, and data type, is shared with OpenAI. This metadata provides the necessary details for the Assistant to generate filtered search results. No actual record content is disclosed to OpenAI throughout this process.
No personal data is sent to OpenAI
Furthermore, the Assistant does not exchange any personal data with OpenAI. Oomnitza adheres to rigorous protocols to ensure the confidentiality and protection of user data, including personally identifiable information (PII). The data exchange is limited to the user's request and non-identifiable metadata necessary for the Assistant's effective functioning.
The Assistant is disabled by default
It is important to note that the Assistant feature is entirely optional. By default, the feature is disabled, and administrators can choose to opt in and out at any time by adjusting their global settings. We respect our users' privacy choices and prioritize giving them control over their data.
Ongoing communication and updates
As we continue to evolve the Assistant feature and its integration with OpenAI, any changes that may impact data sharing or privacy will be communicated well in advance to our users. We are committed to maintaining transparency and keeping our users informed about any updates or modifications related to data privacy. For further information, please refer to our policy guidelines below.
