Imports overview
Oomnitza provides an Import Manager which allows you to import new spreadsheets, as well as monitor existing imports, and track and tag past imports. This expands the already detailed history provided within individual assets.
Formatting your import file
Because Oomnitza allows you to map the columns in your spreadsheet to fields in Oomnitza, formatting your import spreadsheets is easy. For best results, we recommend naming your import columns to match your fields in Oomnitza. This will allow you to use smart mapping to save time.
Certain fields in Oomnitza utilize enforced dropdowns, which only allow you to enter certain values. If uploading information into one of these fields via a spreadsheet import, it's important that all values match exactly, otherwise, you'll encounter failures when Oomnitza attempts to import those assets.
Initiating an import
To begin an import, complete the following steps:
- Navigate to Assets (or any module you want to initiate an import for), and click Import.
- Either drag-and-drop or browse to select the file you wish to import. You can also select a Google Sheet by authenticating your Google Suite account.
- Indicate your Import preference. You can choose to Update, Create, or Update and Create. This lets you avoid creating or modifying unwanted assets in the event of a typo or other error in your import file.
- Under Advanced you can set a timezone for the import, add any tags, and opt in or out of having an email sent to you when the import completes. You can also opt to Restore archived records. If selected, this feature restores archived assets when an asset is matched.
- Click Continue to proceed to mapping.
Mapping
Once you've uploaded your file, Oomnitza will parse the column headers and prompt you to map the fields to your fields with Oomnitza. If the names match perfectly, you'll just need to click Smart Mapping in the upper left. Otherwise, you can match the fields identified in your spreadsheet to the corresponding fields in Oomnitza.
When mapping, you must select a Sync key to validate the mapping. Oomnitza will use this unique field to map assets.
After setting a mapping field, click Validate to proceed with validating the file and mappings.
Importing
Once the mapping is done, Oomnitza will validate the file. Provided it validates successfully, you'll be subsequently prompted to import the spreadsheet. Click Import to import the file.
The file will then process. Once done, you'll be notified of its success in the import manager.
Exports
Oomnitza also allows you to export reports in .CSV or .XLSX. To export from Assets or any other Oomnitza module, navigate to the module, apply any search parameters or saved searches if you want to narrow down your export, then select Export in the upper right.
You'll be prompted to select between .XLSX and .CSV. After you make a selection, Oomnitza will generate the export, then you'll be prompted to download it.
Configuring XLSX Exports
When exporting XSLX files, you're given a few special options:
Add header with more details: By selecting this option, you'll be given additional details on the export in the exported file. These details include the Saved Search used to generate the report, the date the report was generated, the number of objects in the report, and the filter used to generate the report.
Group By: When selecting this option, your report will be organized by the selected field, giving you a count of each group, and the parameter set for that group.
Conclusion

The next article in our getting started series will go over Workflows, one of Oomnitza's most powerful features, that combines numerous elements that we've already learned.
