The Assets Audit package contains the following components:
Assets Audit dashboard and widgets
Critical information about audits is surfaced in charts which provide you with actionable insights.
From the Dashboard menu, select Asset Audit.
The Asset Audit dashboard contains multiple widgets, offering detailed insights into:
- Deployed Laptops in Audit. Provides Insights into deployed laptops, segmented by Audit Status—Fail, Pass, In Process, or Not Audited. Deployed laptops are determined by the Technology Status field.
- Deployed Laptops in Audit Location. Geographic organization of deployed laptops.
- Deployed Laptop in Audit Passes by Date. Data on deployed laptops that have passed the audit within the preceding twelve days. The audit pass date is determined by the Audit Pass Date field.
- Last Audit Pass. Data on all assets that have passed the audit in the last ten quarters. The last audit pass date is determined by the Last Audit Pass Date field.
Data model fields
Data model fields are integrated into both asset and user records. Their primary function is to store audit information and ensure a comprehensive and organized collection of audit data.
Click Configuration > Data Model > Field Configuration and select Assets or Users from the list of objects.
The following fields were added to the Assets object:
- Audit Pass Date
- Audit Start Date
- Last Audit Pass Date
- Last Audit Date
The following fields were added to the Users object:
- Total Device Count
- Total Laptop Count
The web screen design organizes and presents all the imported asset data model fields in a designated Asset Details group called Audit Details. This group is applied to every asset record for the Super Administrator role, ensuring a consistent and uniform view of audit details across the platform.
To view the Audit Details section, click Hardware > All Assets, and click a record.
Saved searches
Preconfigured saved searches are embedded in the Assets and Users pages. They are used to generate the data that is displayed in the charts. They are designed to facilitate quick and efficient views of various asset types, including all inventoried assets. The information displayed in the charts is directly influenced by the parameters of the saved searches.
The following searches were added
- Audit: Laptop Audit
- Audit: Total Laptop Count > 1
- Audit: Total Device Count > 1
- Audit: Laptop Count = 0 (Active Users)
If you want to review the saved search that was used to generate the information in the chart, click Configure widget. Scroll down to the Saved search field and click the link. To review the filter that was used to generate the information for a specific data point, click a chart or chart element.
Workflows
The following workflows were added:
- Clear Audit Fields. Prepares for the next audit by resetting or clearing the Audit Status, Audit Start Date and Audit Pass Date fields.
- [Audit] Deployed Laptops. Executes an audit on deployed laptops, requesting confirmation of ownership from the assigned asset owner. If ownership is confirmed, the Audit Status, Audit Pass Date and Last Audit Pass Date fields are updated. Otherwise, a notification is sent to IT for follow-up.
- [Set] Device Count. Updates user records with the Total Asset Count and Total Laptop Count, which subsequently inform the corresponding saved searches. It checks both assigned and unassigned assets. If an asset is assigned to a user, the count is updated for that user. If the asset is unassigned to a user, the count for the last user associated with the asset is updated.
To review the workflows, click Configuration > Workflows and search for [Audit].
