Building on the foundation for transforming SaaS user management in the Fall 2024 release, new features have been added that leverage the unified view of SaaS users to create advanced searches, reports, and more flexible and powerful workflows.

Before you had to set a limit to the number of licenses in order to enter the number of licenses that were available for allocation. And, if you set a limit, you couldn't over allocate licenses.

Seamless Integration of SaaS User Information
Overview
Retrieving SaaS user roles and last activity timestamps is essential for managing SaaS applications, calculating SaaS costs, and tracking SaaS usage.
Before, when you added an extended user integration for SaaS applications, you had to configure a workflow to retrieve the SaaS user's role and last activity. A separate workflow for each SaaS user integration that you added to your environment!
Now, when you add a user integration, you can automatically and seamlessly retrieve SaaS user roles and last activity. And, that's not all! You can also switch on the deactivate feature which will detect and deactivate SaaS user records in Oomnitza that aren't listed in the SaaS application, or that have been deactivated by the SaaS application.

Overview
Doc Agent automates the generation of comprehensive, and audit-ready documentation of the configuration of your entire Oomnitza system.
Doc Agent uses AI to scan, analyze and summarize the entire system configuration for objects such as tables, workflows, integrations, and other system objects and provides an overall summary, data changes, and technical details depending on the object type. The AI agent automatically produces documentation in near real-time, covering:
- Tables (field mappings, data types, relationships, and validation rules).
- Workflows (trigger conditions, actions, dependencies, & notifications).
- Integrations (API endpoints, data transformations, and error handling).
- Other system objects

Let's say you notice something suspicious and you want to know more, such as the external IP address of the user. Or, for auditing purposes you want to track the IP addresses of users who log into Oomnitza.

Tracking Migrations
Overview
Want to add some tracking information when you migrate your Oomnitza development instance to production? Say you want to know why new custom fields, searches, dashboards, were migrated to your Oomnitza production instance.
Now, when you add a migration, you can refer to the support ticket that was raised to perform the migration, and you can add more details in the notes field.
And when the migration is completed, you can review the tracking information that you added in the migration logs.

Integration Sync Session Details
Overview
Ran an integration, asset, user, SaaS management integration, or custom integration and something went wrong? Open the integration, open the sync session, select the sync that had issues. And, you’re none the wiser.
You want error or warning messages in plain English and you want to know what you can do to prevent it happening again.
Let’s say you get an error message like ‘missing sync key value’ and you want to know more. Just copy the API response for the record to your favorite editor to have a closer look.
You check the mapping section of your integration and see that the user’s email is the sync key (primary identifier) and you see in the response that the email field is empty. Now, you’ve got options to resolve the issue - choose another sync key, ensure the sync key is always populated…

Enhancements to Upgrading Integrations
Upgrade Version Log
Overview
It’s always a good idea to keep up-to-date and that includes upgrading to the latest available version of an integration. Otherwise, you fall behind and miss out on changes such as new key fields that were added, fields that were removed, and a host of other improvements made to enforce data hygiene and add value to the data collected.
But, you, of course, want to know what the upgrade involves before you click the upgrade button! Well, now you can. You just click the Integration Version Log and review the changes. You'll know what remedial actions you need to take to upgrade successfully.

Enhanced Detection of Import Issues
Overview
The import records features is a powerful tool that you can use to import records. It checks the records that you import to ensure that you don't compromise the integrity of the data that is managed in Oomnitza. Mandatory fields missing? You can't import the records until you update the records in the spreadsheet and provide values for the mandatory fields. Oomnitza makes sure you keep your data clean and manageable and provides visibility of errors in the user interface, blockers and warnings, and in the generated log files.
Now, logs are generated even when the import is successful. What! Well, sometimes a successful import is just that, but sometimes, you might need more information.
For example, you use the create records option instead of the update option to import user records. And, one or more of the records that you import have already been uploaded to Oomnitza. Now, you can open the log file and review the status of the records - such as the records that were skipped because they already existed.

You not only gain visibility of failed imports but also of successful imports. You can check the status of each record that is imported.

To maintain data integrity, restrict access to data, and to make Oomnitza users' lives easier when data is enriched in Oomnitza, you can use field filters.
In this scenario, you restrict access to options and suboptions in a dependency dropdown list. Makes it easier for Ella to update asset records and ensures that the integrity of the data that is collected about assets is maintained - no user input required.

Enhancements to Request Portal
Overview
Before, offerings were grouped by category. But, say you wanted to offer a bunch of offerings and the offerings had different categories? Like, a bunch of hardware, software, and whatever else you wanted to offer to onboarding employees?
To do this, we have introduced a new layer called 'Services'. A service, such as an onboarding service can contain multiple categories. And a category can contain multiple offerings.
To make it easier for users to get the things they need, they can simply add one or more offerings to their cart and go to the checkout.

Overview

You don't want anyone messing with these accounts such as changing the role of a system account!
As prevention is always better than the cure, system accounts are now read-only. No more unintentional changes can be made that might cause essential services to fail.

Enhanced messaging for SaaS Management Integrations
Overview
Ran a SaaS Management Integration, such as Okta? And, although the integration completed, you got errors, such as skipped records.
