The theme of the Oomnitza Winter 2024 release is data normalization with a focus on data consistency. Regardless of the data source, the data streamed into Oomnitza or added manually can be made consistent by applying normalization rules.
Contents
Top features
Data normalization
You stream large volumes of data from multiple vendor applications. One asset integration calls Windows operating systems Microsoft Windows, another MS Windows, and another Windows. In Oomnitza, you want the same thing to have the same name regardless of the data source. To do this, you can now apply normalization rules to the data added and streamed into Oomnitza such as the names of operating systems and manufacturers. Just add normalization rules to change the name from Microsoft Windows to Windows, and from MS Windows to Windows and when the data is ingested, you will get the same name for the same thing. Clean, consistent data that is easier to analyze and exploit.
Unified view of stockroom accessories
With the unified view of all accessories in all of your stockrooms, you can surface business critical information on dashboards and in reports. You can create dashboards that help you manage stock levels such as dashboards that show accessory min and max stock levels and dashboards that show which accessories are out on loan.
Notifications
What was Workstream is now Notifications. The Notifications page provides users with a unified view of the notifications that are triggered by workflows. You can monitor user participation in surveys and whether requests for Store offerings were accepted or rejected. Page too busy? Mark messages as read or click a tab and review the notifications that are pending, completed, or have expired.
Dashboards
With the functional and usability enhancements made to dashboards, users will be able to create their own private dashboards and get at-a-glance visibility of the data that is important to them. And, if a user has the appropriate permissions, they can share their private dashboards with colleagues.
To ensure that users can only view dashboards that are relevant to their role, administrators will have greater control over granting dashboard permissions. Administrators will be able to grant permissions for adding, editing, and deleting private dashboards to users without granting them permissions to dashboards not relevant to their role.
Bulk edit
The bulk edit feature has been transformed. The enhanced bulk edit feature makes it easy to select fields in records and guides you through the process from start to finish. Instead of being overwhelmed with a list of all the fields that you can bulk edit, you choose the fields that you want to edit. You can add and remove records and fields easily, so you see what you need to see to get your records updated.
The bulk edit feature will be available for all objects which, of course, includes the custom objects that you created. In addition, administrators have a more granular control over granting bulk edit permissions. They can grant permissions for one or more objects, such as assets and accessories, and they can apply different bulk edit limits for each object. Administrators can also extend bulk edit permissions to edit read-only fields.
Configuring bulk edit permissions
Highlight key information in records
You can use conditional formatting to highlight the information that is important to your role for the custom objects that you create or manage. You can apply conditional formatting to the list view, the record view, and to the information that you export to spreadsheets. You can add rules to target information such as fields that don't contain information that you need so that you can take action. You can highlight rows when a critical status is reported or use date ranges to create rules to highlight new or updated records.
Recommendations for store packages
To guide customers as they expand the management of their technology portfolio, Oomnitza will automatically detect the vendor applications that they are managing and recommend out-of-the-box packages, such as endpoint protection and data hygiene packages for customers who sync asset integrations with Oomnitza. Customers can download the packages to help them better manage their technology portfolio.
System enhancements
Control access to credentials
Administrators can now use a field filter to control access to the credentials that users can view, edit, or use. They can use specific field values such as name, owner, and authorization type. For example, administrators can add a role-specific field filter so that users who log into Oomnitza can only use the credentials that they created or own. Or they can create a field filter that specifies the type of authorization that is permitted such as OAuth 2.0, and not permit users to use any other type of authorization.
Use this new feature to enhance security by restricting access to the credentials that you permit users to use and to prevent users from using the wrong credentials or changing credentials which might interrupt the running of integrations and workflows.
Using field filters to refine role access
Adding custom objects made easier
Before, when you created custom objects to capture key data, you had the option of creating standalone or lookup objects. Now, all custom objects are lookup objects. (No worries, this has all been done for you and you don't need to do a thing.) Why? Because not only can lookup custom objects do everything a standalone custom object can do — they can do much more. You can create dropdown lists and paired fields which will make it easier to maintain data hygiene and enhance the user experience, You can also add custom tabbed pages to customize the data view depending on the user's role.
More system enhancements
- View saved searches before you select them when you create dashboard charts. You use saved searches to refine the data that is used to create dashboards. But, sometimes you need to review the search to make sure that you get the right data. When you create or edit a dashboard, you can open the saved search on a separate tab, review it, and ensure that it is the right search for creating the chart.
- More options for short text fields. The limit for the number of options that can be added to dropdown lists was 100. Now, it is 200. If you need more options, you can add custom objects. The limit for the number of options for custom objects is 1,000.
- Deactivating workflows. Instead of having to open a workflow to deactivate it, you can select the workflows you want to deactivate in the list view for workflows.
-
Session timeout. Depending on the value that is set for session timeout, you are now automatically logged out of your Oomnitza instance when your session times out. See
session_timeout
in Global settings. - Record number displayed. Now as you scroll through the records that you review, the number of the record that you're reviewing is displayed.
- Reviewing a role’s permissions made easier. Reviewing permissions for a role? With the search feature, you can quickly find the role you want to review and with the new search feature for permissions, you can quickly find the permissions and make your changes.
- Custom objects records can be edited when configuration is disabled. Configuration changes are disabled on a production instance because of an upcoming migration from a preproduction instance to a production instance, Now, this won’t stop you from making changes to custom objects records, such as, using the import feature to add records.
- Saved searches and thumbnails in surveys can be updated. You can now change the saved search that you selected to create a variable and you can change the size of the thumbnail after you run a survey.
Permissions for stockroom accessories
New permissions were introduced for viewing the records for stockroom accessories.
To view accessories on the Location > Stockrooms page and on the Accessories > Stockrooms page, you must have:
- Read permissions for the Stockroom Accessory object. All existing user accounts are automatically granted read permissions. New users must be granted access permissions.
- Permissions for accessing the Stockroom and Accessory records.
Role permissions for new users must be configured so that they are provided with access to the following objects:
- Accessory
- Stockroom
- Stockroom Accessory
Make your colleagues more productive by granting permissions for bulk editing, saving filters as searches, and creating workflows for the new Stockroom Accessory object.
Software Asset Management
Savvy Shadow IT
Integrate Savvy with Oomnitza and put the spotlight on Shadow IT. Get key security information such as who accessed applications, which applications were accessed, and when they were accessed. IT Security can monitor the information in Oomnitza to revise their security policies by either adding applications to their list of sanctioned applications or by denying access to applications.
